Position – Officer – Admin (Project)
Summary of the Role
The role involves leading and supporting various administrative activities related to offices, project sites, and documentation, along with meticulous record-keeping.
Responsibilities / Accountabilities
- Managing local office administration in Pune, including overseeing office operations, stationery, and various administrative tasks. This also encompasses vendor management, housekeeping, security, building maintenance, catering, courier services, and logistics.
- Efficiently maintaining project documentation, project invoices, and pertinent legal/statutory records throughout the project’s lifecycle.
- Handling the receipt and record-keeping of all import-related documentation and collaborating with relevant departments for coordination.
- Managing SAP-related transactions for creating purchase requisitions, goods receipt notes, invoice processing, and record-keeping.
- Offering support to the project team (both local and global) for travel arrangements and meeting coordination.
- Compiling reports and data with statistical information as assigned.
- Assisting in scheduling in-house and external employee and contractor engagement events.
- Conducting follow-up visits to government offices and authorities as required for status updates, documentation, and coordination.
- Providing administrative support at project sites.
- Supporting labor law compliance and audits during the project’s lifecycle and beyond.

Requirements (education, experience, competencies, and specific job requirements)
Education / Certification
- M.Com or BBA with 4-6 years of experience in site administration, documentation, and SAP.
Experience and Skills
- 4-6 years of experience in site administration, documentation, and record-keeping.
- Knowledge and practical experience with SAP is an additional advantage.
- Proficiency in applying systematic processes for documentation and record-keeping.
- Familiarity with labor laws and industrial relations requirements of the region.
- Competence in using MS Office.
- Strong command of English, both written and verbal.
