Job Description:

Roles & Responsibilities:

Project Execution – Business System (Oracle & JDE)

Create new projects, agreements, and baselining as per the sold budgets.
Implement re-baselining for existing open projects with each approved change order.
Make Estimate at Complete (EAC) & Estimate to Complete (ETC) changes as required.
Analyze project transactions and margin fluctuations, highlighting baseline Budget & EAC with GP% based on set parameters.
Issue Actual & Commitments Cost reports to Project Managers for Critical/High-value projects on a monthly basis.
Conduct need-based transaction audits (actuals & commitments) to identify incorrect costs on projects.
Maintain project schedules and milestone payments.
Generate customer invoices based on completed milestones or use the book & bill method.
Prepare Purchase Requisitions and submit them in the business system.
Complete the cost booking in the business system.
Handle the booking of freight invoices from vendors.
Escalate non-payment of invoices based on the Days Outstanding (DOS) report.
Close projects in the business system once they are completed.
Take full ownership of allocated work and supervise subordinates.
Coach and guide junior project administrators with business system issues.

Coordination with Finance Team

Select the correct project financial type (Percent of Complete, Completed Contract, etc.) during project creation.
Get approval or inform about GP % fluctuations.
Provide updates regarding vendor payments (AP) and customer payments (AR).

Coordination with FSO Project Administrators

Understand business demands and project forecasts.
Request assistance with incorrect or incomplete information flow.
