Job Summary:

In this role, you will report to the Accounting Manager at New York City headquarters. Your primary responsibility will involve recording payables and managing payment processes as a crucial part of our esteemed accounting and finance team. Responsibilities:

• Input vendor data and accurately record payables in the accounting system, ensuring timely processing.
• Interact directly with vendors, which includes requesting necessary forms, registering payment details, and addressing follow-up requests.
• Collaborate closely with vendors to promptly resolve inquiries and discrepancies related to invoice payments.
• Verify the precision of vendor invoices and confirm the use of correct general ledger account codes and descriptions.
• Generate routine payments to vendors and match them with supporting documentation for review by the accounting manager.
• Review, reconcile, and provide analysis for general ledger accounts associated with accounts payable and expense postings.
• Oversee and manage expense reports to ensure compliance with company policies and correct usage of general ledger account codes and descriptions.
• Examine corporate credit card transactions to allocate appropriate general ledger codes and ensure accurate attachment of supporting documents.
• Assist the global accounting team in compiling monthly accrual reports.
• Prepare IRS Form 1099s for eligible vendors in accordance with U.S. Internal Revenue Service requirements and file necessary reports with the IRS.
• Provide support for internal and external audits as required.
• Participate in special projects as they arise.

Requirements:

• Strong customer service skills.
• Associate’s or Bachelor’s degree in accounting or a related field (or equivalent experience).
• Proficiency in English.

• Experience using accounting software (Experience with Sage Intacct or other Accounts Payable software is a plus but not required).
• Flexible working hours with some overlap with colleagues in New York City.

Must-Haves:

• Experience in establishing and implementing end-to-end AP approval and payment processes, including procurement procedures, new vendor onboarding, invoice approval, invoice tracking (with potential involvement in future cash disbursement projection), and payment processing.
• Ability to clearly articulate issues and project statuses while maintaining consistency in follow-up and communication.
• Willingness to take on new responsibilities (e.g., audit support and potential work outside of AP).

Nice-to-Haves:

• Experience working with U.S.-based firms in processing accounts payables.
• Exposure to or experience with month-end closing processes.
